Job Description: Mental Health Clinic Admin Front Line

Position Overview:
We are seeking a compassionate and detail-oriented Mental Health Clinic Admin Front Line professional to join our team. This role is vital in ensuring efficient front desk operations, providing exceptional support to patients and clinical staff, and maintaining a calm and welcoming environment. The ideal candidate will possess strong organizational skills, a friendly demeanor, and the ability to handle multiple tasks in a fast-paced mental health setting.

Key Responsibilities:

  1. Patient Reception and Assistance:
  • Greet patients and visitors warmly, ensuring a welcoming and supportive atmosphere.
  • Manage patient check-in and check-out processes.
  • Assist patients with completing necessary forms and documentation.
  • Provide information and answer questions regarding clinic services and mental health resources.

2. Appointment Scheduling and Management:**

  • Schedule and confirm patient appointments, including initial consultations and follow-up visits.
  • Coordinate appointment schedules to optimize patient flow and minimize wait times.
  • Reschedule appointments as needed and notify patients of any changes.

3. Administrative Support:

  • Maintain accurate and up-to-date patient records, ensuring confidentiality and compliance with HIPAA regulations.
  • Handle phone calls, emails, and other communications promptly and professionally.
  • Assist with billing, insurance verification, and payment processing.
  • Prepare and distribute daily reports and other administrative documents.

4. Coordination with Clinical Staff:

  • Communicate patient needs and concerns to clinical staff.
  • Assist in coordinating patient care and follow-up appointments.
  • Ensure all patient information is accurately recorded and updated in the clinic’s system.

5. Office Maintenance and Supplies:

  • Keep the reception area clean, organized, and well-stocked with necessary supplies.
  • Monitor inventory levels of office supplies and place orders as needed.
  • Ensure all office equipment is functioning properly and arrange for maintenance or repairs when necessary.

6. Patient Support and Crisis Management:

  • Provide immediate support and assistance to patients experiencing emotional distress or crisis.
  • Connect patients with appropriate clinical staff or emergency services as needed.
  • Maintain a calm and professional demeanor in high-stress situations.


Education: High school diploma or equivalent; additional certification in healthcare administration or mental health services is a plus.


  • Excellent verbal and written communication skills.
  • Strong organizational and multitasking abilities.
  • Proficiency in using office software (e.g., MS Office Suite) and electronic medical records (EMR) systems.
  • Ability to handle sensitive and confidential information with discretion.
  • Compassionate and empathetic demeanor with a patient-centric approach.
  • Ability to remain calm and professional in high-stress situations.

Working Conditions:

  • The position requires standing and sitting for long periods.
  • May involve occasional lifting of office supplies or equipment.
  • Interaction with a diverse patient population and clinical staff.
