Ever After Bloom specializes in the preservation of bridal bouquets. Our team ensures that every bouquet retains its beauty and sentimental value for years to come. We are seeking a reliable and dedicated Operations Assistant to join our team and support the Operations Coordinator in providing exceptional products and services.

As the Operations Assistant, you will shadow the Operations Coordinator in our Dalung workshop five days a week and pick up various administrative tasks related to customer interactions on WhatsApp and email. You will also assist with inventory management and updating operational files.

Job Description:

Preservation Process:

  • Assist the Operations Coordinator with daily tasks in our workshop, learning and supporting the floral preservation processes for both resin and pressed.
  • Follow precise instructions and safety protocols to ensure high-quality products.
  • Assist with the bouquet collection process and buying supplies, when necessary.
  • Manage shipping logistics for outgoing orders.

Customer Administrative Support:

  • Support with customer communications via WhatsApp and email ensuring the order flow process is as smooth as possible.
  • Provide excellent customer service by promptly addressing sales inquiries, questions, and special requests in a professional and friendly manner.
  • Maintain detailed records of customer interactions and orders.

Inventory / Operations

  • Monitor stock levels and coordinate with suppliers to ensure adequate inventory, including placing online orders for stock.
  • Maintain accurate records of inventory, orders, and shipments using tracking systems.
  • Support the owner of the business with ad hoc administrative tasks.
  •  Ensure all operational files are kept up to date.


  • Demonstrates a high level of adaptability and eagerness to learn new tasks and take on responsibilities as required by the business. 
  • Maintains a proactive approach in assisting with various operational tasks to ensure smooth and efficient business operations. 
  • Contributes innovative ideas and suggestions for process improvements and operational efficiency. 
  • Exhibits strong organizational and multitasking abilities, ensuring tasks are completed accurately and efficiently. 

Skills / Qualifications:

  • Displays meticulous attention to detail, ensuring high standards in all tasks. 
  • Possesses excellent verbal and written English communication skills, facilitating clear and effective interactions. 
  • Capable of working effectively both in a team environment and independently when required. 
  • Experience in a retail environment is advantageous with an interest in design and creativity. 
  • Excellent communication and customer service skills. 
  • Strong organizational and time management skills to handle multiple tasks and adapt to changing priorities. 
  • Basic knowledge of inventory management and supply chain processes is beneficial. 


  • Willingness to work at our Dalung shop location 5 times a week on an agreed schedule, with priority given to bouquet collection days which mainly fall on weekends.
  • Weekend work is required, with the ability to adapt to a changing schedule, including not always having the same days off.
  • Must have your own vehicle and devices to communicate on Asana and email.
